Springfield Business Supplies Ltd based in Bedford are looking for a motivated and organised Administrator Apprentice to join their team. This is an excellent opportunity for someone with strong attention to detail who is keen to develop their administrative skills, gain valuable experience and build a long-term career with the company.

Qualifications Required

To be considered for this role you will ideally need to have GCSE grades 9-4 (A*- C) in English and maths.

As a Business Administration Apprentice, you will have the opportunity to gain valuable experience across different areas of the company and develop a broad understanding of how a successful business operates. This is a varied role, offering exposure to a wide range of business activities. You will work closely with different members of the team and develop practical experience in customer service, administration, order processing, supplier communication, logistics, marketing and digital systems.

Your responsibilities will include communicating with customers, processing and monitoring orders, liaising with suppliers, coordinating goods and despatch, maintaining accurate business records and supporting the logistics process. You will play an important role in helping to ensure that customers receive a professional and seamless service from their initial enquiry through to the successful delivery of their order.

You will be one of the points of contact for their customers, responding to telephone calls, emails and live chat enquiries relating to stationery, workplace supplies, technology and office furniture. You will learn how to communicate confidently and professionally with customers, understand their requirements and provide helpful information and advice. Developing strong communication and customer service skills will be an important part of your apprenticeship.

You will assist with processing customer orders accurately and efficiently, ensuring that all relevant information is recorded correctly. You will monitor orders from the point they are placed through to completion and use the company’s CRM system to track progress and deliveries. Where appropriate, you will keep customers updated and ensure that information is communicated clearly between customers, suppliers and internal teams.

As part of the role, you will develop your ability to investigate and resolve day-to-day business issues. This may include dealing with delivery queries, order discrepancies, product enquiries and returns. You will learn how to identify the cause of a problem, communicate effectively with customers and suppliers and help find practical solutions while maintaining the high standard of service expected by the company.

Accurate administration is an important part of the role. You will help maintain up-to-date customer and product information within the company’s CRM system, ensuring records are accurate and reflect current customer details and requirements. This will provide you with valuable experience in database management while developing your attention to detail and organisational skills.

You will also have the opportunity to gain experience supporting the company’s webstore. This will involve helping to ensure that product information, descriptions and pricing are accurate and kept up to date. You will monitor activity and identify information that may need correcting, updating or improving, giving you an insight into the administration and commercial aspects of an online business.

As your knowledge and confidence develop, you will have the opportunity to support marketing activities across the business. This may include using company software and digital tools to create content, promotional materials and other marketing communications. You will gain an understanding of how different areas of the business work together to support the company’s wider marketing and commercial objectives.

As an apprentice, your learning and development will be an important part of your role. You will be expected to take an active approach to completing your apprenticeship learning, training modules and any relevant development activities. You will keep your training records up to date while continually building your knowledge of the company, its products, services and systems.

Throughout your apprenticeship, you will work towards agreed objectives and performance targets while developing the practical, organisational, communication and problem-solving skills required for a successful career in business administration. You will be encouraged to ask questions, learn from experienced colleagues, take on new responsibilities and contribute positively to the continued development of both the team and the wider business.

Other Information

Previous business administration experience or knowledge would be beneficial, but is not essential.
