Qualifications Required

You will ideally need to have GCSE grades 9-3 (A*- D) in English and maths, or equivalent.

Personal Qualities

Confident and courteous telephone manner.
Ability to work under pressure and deal with problems effectively.

Skills Required

Attention to detail.
Ability to multi task and strong time management skills.
Ability to deal with queries.
Good at problem solving as, an important element, is predominantly about fitting jobs in with customers requirement and engineers availability.
Good organisational skills.

Training to be Provided

You will gain the following qualifications:
- Business Administrator Level 3 Apprenticeship
- Level 2 Functional Skills in maths and English (if required).

You will also study a range of topics, including: IT, record and document production, decision making, planning and organisation, project management, policies, relevant regulations, stakeholders, processes and external environment factors.

Vacancy Detail

The role is based in their busy Customer Service department booking jobs for engineers conducting telematic installation jobs all over the UK and much much more.

You will also be:
• Checking emails first thing in the morning and dealing with them accordingly whether they be cancellations or queries.
• Reviewing the unscheduled jobs and start the booking process considering the location of the job, skills required and timescale amongst the factors. You will have access to
engineers as well as sub contractors.
• If kit is required then you will arrange for this to be sent to site.
• Fleet lists of projects will need to be updated if necessary, you would be involved in single job bookings as well as projects.
• Any follow up calls will also need to be made where a customer has requested they are contacted at a later date.
• During the latter part of the day the engineer’s diaries will be reviewed to ensure they have sufficient work for the days ahead.
• You will also review the next day’s work to ensure everything is in order such as kit on site.
• Reviewing weekly list of jobs in readiness for invoicing.
• Constructing emails to customers as well as telephone calls.
• Use of Excel where needed for fleet lists.
• Use of customer portals/linked spreadsheets/google forms to meet customer requirements and book jobs.
• Arranging for consumables to be sent out using the internal stock system and stores. Being responsible for ensuring the billing of these is correct by putting on the system
for accounts to invoice.
• Hotel and Ferry bookings where necessary.
• To provide quotes as needed.
• Ordering of specific items such as a clip for a vehicle as necessary.
• Reviewing of customers purchase orders through to completion of jobs.
• Using the companies couriers (mainly DHL) to send any kit out to engineers where necessary.
• Updating notes on database as to the progress of the job.
