Brief Description : Provide administration support within the accounts and administration departments including data input and reconciliation of time sheets, cash, cheques and general administration duties.

 

Qualifications Required : You will need four GCSEs at grades A*-C or 9-4, or equivalent including maths and English.

To be responsible to the Facilities and Support Services Manager. To work co-operatively with the whole organisation; you will provide support in administrative duties, which will include:

All general administration tasks; to include typing letters, documents and filing (both manually and electronically), monitoring and ordering resources.
Communication with staff, volunteers and others via the telephone, face to face or email, memo or letter.
Collating training manuals and other resources as needed.
Assisting in maintaining records and statistics on our internal databases.
Assisting with telephone cover as and when required.
Possible attendance at local external meetings or events.
Greeting visitors and clients when necessary.
Booking appointments and meeting venues.
Attending locally held staff meetings and training sessions.
Data Input for finance accounts
Reconciliation of timesheets, cash, cheques to the organisation systems and bank accounts using Sage Accounts.
Monitoring and allocation of uniform
To undertake other tasks as may be required from time to time.

All whilst working in accordance with all of Age UK Bedfordshire’s policies and procedures.

Future Prospects : We have benefited from employing apprentices for the past 9 years and we are considered one of the best apprenticeship providers in the county. Ninety percent of our apprentices are offered full time employment with us at the end of their course.
Training to be Provided : Business Administrator Level 3 Apprenticeship plus Level 2 Fuctional Skills in maths and English (if required) and Level 2 Functional Skills in ICT. You will also study a range of topics including: IT, Record and document production, Decision making, Planning and organisation, Project management, Policies, Relevant regulations, Stakeholders, Processes and external environment factors.
Other Information : Candidates must attend an initial interview with a member of the Apprenticeship Recruitment Team and complete an online Maths and English test which will be sent out prior to your initial interview if you meet the entry criteria. Please note this is part of the recruitment process and must be completed in order for your application to be progressed to the next stage.
