Brief Description

Administrative assistant to include filing, answering the telephone, archiving and retrieval of documents from storage, photocopying, scanning and general office duties.

Qualifications Required

Must have English and Maths at grade 4 or above

Training to be Provided

Business Administrator Level 3 Apprenticeship plus Level 2 Fuctional Skills in maths and English (if required) and Level 2 Functional Skills in ICT. You will also study a range of topics including: IT, Record and document production, Decision making, Planning and organisation, Project management, Policies, Relevant regulations, Stakeholders, Processes and external environment factors.

This will depend on how the apprentice has performed throughout the apprenticeship

Vacancy Detail

Administrative assistant to include filing, answering the telephone, archiving and retrieval of documents from storage, photocopying, scanning and general office duties.

Assisting on reception and providing full cover for lunch, sickness and holidays. To include answering the phone and door entry system and meeting and greeting clients/visitors to the office.

 Taking the DX and Post – recorded deliveries/special deliveries. Hand deliveries.

 Distributing faxes and messages around the building.

 Checking kitchen for supplies daily and replenishing as necessary.

 Checking trays around the office for post etc.

 Checking stationery levels and providing a list of required items to the relevant person.

 Filling photocopiers daily.

 Attending client appointments where necessary with colleagues.

 Booking meeting rooms and maintaining the meeting room diary.

 Keeping the meeting rooms tidy and replenishing note pads and pens etc.

 Making tea/coffee for clients as required.

 Attending to the shredding of waste paper.

 Placing archived files into storage.

 Placing archived documents into our storage facility.

 Retrieving documents and files from storage.

 Typing where necessary/appropriate.

 Photocopying and scanning for any staff in the office as required.

 Assisting reception generally in the smooth running of the reception.

 Other general office administrative duties requested.
