Brief Description

To provide an efficient and customer based focused business administration service for the SEND Team. The apprentice will be required to support the team on a variety of projects.

Qualifications Required

You will need to have a minimum of four GCSEs grades A*-C/9-4, including English and maths (or a level 2 NVQ Diploma in Business & Administration or ICT).

Personal Qualities

Must have an interest in working in the Children’s Services environment and in general office administration.

Enjoy working with others as part of a team.

Have an interest in IT and be confident using a variety of IT programs. You will be required to input data accurately into a computer system.

Skills Required

Experience of delivering customer services.

Excellent interpersonal and communication skills. Good verbal and written skills and be comfortable communicating with a wide range of people on the telephone and in person. Must have attention to detail.

Well organised, able to prioritise tasks and to meet deadlines, whilst remaining calm and customer focused.

Ability to work effectively within a busy team as well as strong self-motivation and an ability to work with a minimum of supervision.

Ability to deal appropriately with confidential and sensitive information.

Ability to organise workload with discretion, tact and integrity.

Good IT, social media and administrative skills.

Training to be Provided

Business Administrator Level 3 Apprenticeship plus Level 2 Fuctional Skills in maths and English (if required) and Level 2 Functional Skills in ICT. You will also study a range of topics including: IT, Record and document production, Decision making, Planning and organisation, Project management, Policies, Relevant regulations, Stakeholders, Processes and external environment factors.

Vacancy Detail

To provide an efficient and customer based focused business administration service for the SEND Team. The apprentice will be required to support the team on a variety of projects.

To support the day to day services of the SEND Team in accordance with the policies, strategies and direction approved by the Council, including the delivery of a range of services, which includes:

• Carrying out general administration tasks.
• Handling and responding to general telephone queries from schools, parents and outside agencies, providing information and advice as appropriate.
• Passing on accurate verbal / written messages to other members of the team.
• Scanning and photocopying a variety of documents.
• Logging and dealing with incoming / outgoing post.
• Responding to emails and letters as appropriate.
• Ensuring filing and archiving is carried out accurately and in a timely manner.
• Attending meetings in order to take minutes and ensuring minutes are distributed after meetings.
• Booking rooms for meetings.
• Preparing paperwork for meetings and organising papers after meetings.
• Order stationary and make sure stationary cupboards are tidy

The post will be paid the National Minimum Wage (NMW):
£8.21 per hour (if 25 or over)
£7.70 per hour (if aged 21 to 24 years)
£6.15 per hour (if aged 18 – 20 years)
£4.35 per hour (if under 18 years but above the compulsory school age)
